    Responsibilities

    • Responsible for the day-to-day administration of the site and provide assistance and support to the Site Manager.
    • Acts as first point of contact for all customer and work order service calls.  Responsible to dispatch appropriate technician personnel for all work orders and record/track progress and completion in the CMMS system.   
    • Responsible for the timeliness and accuracy of timekeeping and payroll compilation for processing and reporting.  
    • Responsible to accurately track and maintain personnel's attendance to ensure schedule adherence.   Supports the Site Manager with attendance and policy infraction documentation and communication follow up.
    • Supports the Site Manager/partners with HR  with interview coordination, new hire onboarding paperwork and training requirements. 
    • Responsible for the timeliness and accuracy of all billing, invoicing, expense reporting and associated record keeping.  
    • Maintain and organize all office and safety supply levels.  
    • Help Site Manager promote, enforce and track the site's required continuous improvement, safety, technical and HR-related training progress.  
    • Perform other duties as assigned or needed.

    Qualifications

    POSITION REQUIREMENTS:

    • High School diploma or GED equivalent, associates degree in business or accounting is preferred. 
    • Basic knowledge and understanding of California employment/payroll regulations is preferred 
    • Valid Driver’s License
    • Must have 3 - 5 years’ experience and solid understanding of basic office accounting concepts including A/R, A/P, payroll processing, invoicing, billing and expense reporting.  
    • Required to have high level of competency in Microsoft applications including Word, Outlook, Powerpoint and most importantly, Excel.   The right candidate will be ask to demonstrate Excel proficiency.  
    • Must be highly organized, ability to prioritize and plan based on urgency of tasks and office activities.  
    • Excellent communication and interpersonal skills
    • Must have customer service experience whether from an office or service industry environment.    
    • This position requires airport security clearance in order to work in the secure areas of the Boston airport.    

     

    PHYSICAL DEMANDS:

     

    While performing the duties of Administrative Assistant, the employee is regularly required to sit; stand; walk; use hands and fingers to handle or feel; reach with hands and arms. Work in a fast paced environment. The employee must regularly lift and/or move up to 20 pounds. Specific vision abilities required by this job include close proximity vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Good hand/eye coordination is required.

    The work environment is similar to an office environment.
