Operates multi-line telephone system to operates multi-line telephone system to answer incoming calls; directs callers to appropriate personnel; and completes a variety of administrative duties as needed
Essential Duties and Percent of Time Spent:
Answers incoming telephone calls, determines purpose of calls, and forward calls to appropriate personnel or department. Retrieves messages from voice mail and forwards to appropriate personnel.
Greets visitors/guests and notifies appropriate personnel of their visitor’s arrival. Monitors visitor access and issues passes when required.
Compiles and distributes updated internal listing of telephone extensions, including voice mail.
Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes
Responsible for printing shop hourly reports for supervisor review throughout the week worked, entering Service Techs hourly time into system, then present time to the HR Manager.
Performs a variety of clerical duties including but not limited to typing of general correspondence, memos, copying, filing, preparing marketing mailings, handling special copy jobs and any other special job, including projects for other departments
Maintains and replenishes weekly all office supplies,
Performs other duties as assigned
Knowledge and Skills/Experience:
One-year certificate from college or technical school or 3 to 6 months related experience and/or training, or equivalent combination of education and experience. Must have good oral and written communication skills and the ability to effectively present information to customers and employees of JBT FoodTech. Must have at least beginning Word and Excel capabilities and simple mathematical skills, including the ability to use simple Excel formulas. Minimum of High School Diploma.
