Overview

 

 

Our busy, customer focused office needs a reliable, well-organized Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Office Manager will be responsible for streamlining administrative procedures and supporting Accounts Payable, Human Resources and the Business Development team with their administration functions. We’re looking for an energetic professional who doesn’t mind wearing multiple hats.

 

 

Responsibilities

  • Office Support:
    • Supports office personnel at the given location.
    • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
    • Executes projects as assigned by the leadership team.
  • Finance Support:
    • Provides weekly support of finance team with respect to SOX requirements, AR support, monthly and quarterly close and other duties as assigned.
  • Human Resource Support:
    • Provides ongoing support to the Human Resource team with respect to maintaining records, reports and logs on all previous and current employees.
    • Assists the department in carrying out various Human Resource programs and procedures for all company employees.
  • Business Development Support:
    • Provides support to the Business Development team with respect to maintaining contractual records and documents, including document receipt, control correspondence, contractual changes, status reports and other document requirements
    • Responsible for receiving, logging, distributing and controlling of tender documentation received from customer.
  • Contributes to team effort by collaborating with all departments as needed to accomplish related results.
  • Perform other duties as assigned or needed.

QUALIFICATIONS:

POSITION REQUIREMENTS:

  • High School diploma or GED equivalent, associates degree in business or accounting is preferred.  
  • Valid Driver’s License
  • Must have 1 - 3 years’ experience and understanding of basic office accounting concepts including A/R, A/P, payroll processing, invoicing, billing and expense reporting.  
  • Competency in Microsoft applications particularly Excel.     
  • Must be highly organized, ability to prioritize and plan based on urgency of tasks and office activities.  
  • Excellent communication and interpersonal skills
  • Must have customer service experience whether from an office or service industry environment.    
  • Candidates will be asked to demonstrate their proficiency level in Excel, basic accounting and timekeeping/payroll processing for final consideration.
